Situations that come up
The response time judged too long
In an emergency, every hour counts for the customer. Acknowledge that the wait was hard without detailing your schedule for the day. If you had announced a time slot, say so in one sentence, calmly, and offer to continue by message.
The quote or invoice that comes as a surprise
Price is the first source of tension. Don’t go through every line in public. Say that the details are on the signed quote and offer to go through them again by phone.
The leak that comes back
If the problem is on your side, apologise and offer to come back. If the cause is elsewhere in the installation, say so in one neutral sentence, without blaming the customer, and offer an appointment.
The thank-you review after an emergency job
Reply with something concrete: the speed, how clean the site was, the explanation you gave. Avoid repeating the address or the exact nature of the work, which is personal information.
Three reply templates to adapt
Fill in the fields (optional)
An empty field stays in square brackets in the text: fill it in before publishing. Read it over and change a few words, a reply that looks written for this person beats a copy-paste.
Response time
The customer complains about waiting too long.
Hello [first name], thank you for your feedback. We understand that the wait, [problem], was hard in a situation like yours. We are reviewing how we announce time slots. If you wish, write to us at [contact]. The [business name] team.
Disputed quote or invoice
The customer finds the price surprising.
Hello [first name], thank you for taking the time to write to us. We are sorry the invoice surprised you, in particular [problem]. The details are on the quote you signed, and we are happy to go through them with you: contact us at [contact]. [business name].
Thank-you
Positive review after a job.
Thank you [first name] for your message! We are glad that [specific point] satisfied you. Don’t hesitate to contact us again if you need us. The [business name] team.
Other cases (fake, unfair, no comment reviews): the twelve general templates.
Where to put your review QR code
- On the invoice or the job sheet handed over at the end: the customer is still there and relieved that it is fixed.
- On a small sticker placed in the vehicle, or on the business card left next to the meter.
- In the confirmation message sent after the job, with the direct link to your listing.
The direct link, the QR code and an A4 poster with your name are made here: Google review link and QR code (free, no account). The same QR code for all your customers, with no sorting.
To check on your Google listing
- The areas you travel to, listed with towns and not just a county.
- Your hours, and a clear mention if you do emergency call-outs outside office hours.
- Photos of finished jobs and of your branded van, which show that it really is your business.
To go through the rest: the 17-point listing check-up. A complete listing doesn't guarantee a better ranking, it mostly keeps you from losing a customer over wrong info.
To avoid
- Giving the job address or details about the customer’s installation in a public reply.
- Promising a precise price or time in a reply without having seen the problem.
- Asking only customers who left happy: Google forbids sorting.
Google's rules change: read its official help from time to time. More details: getting more Google reviews, honestly. These tips are practical, they don't replace legal advice.
