Situations that come up
The pizza that arrived cold
Delivery is the first source of complaints, especially when it goes through a platform. Acknowledge the inconvenience, say you are looking at how to shorten the wait, and don’t blame the courier in public.
The order that is incomplete or wrong
A forgotten drink, an extra topping: mistakes are easy on a rush night. Apologise, and politely ask for a contact rather than disputing the order in public.
The wait at weekends
When the oven runs flat out, the wait shows. Don’t detail how many orders came in that night. One sentence of apology and an invitation to write to you are enough.
The review that praises a dough or a recipe
Reply with something concrete: the dough, the topping, the welcome. It makes the reply feel alive, not copy-pasted.
Three reply templates to adapt
Fill in the fields (optional)
An empty field stays in square brackets in the text: fill it in before publishing. Read it over and change a few words, a reply that looks written for this person beats a copy-paste.
Cold delivery
The pizza arrived lukewarm or cold.

Other cases (fake, unfair, no comment reviews): the twelve general templates.
Where to put your review QR code
- On the lid of the pizza box, with one short sentence: the customer opens it in front of the TV or at the table.
- On the receipt or the bag handed over for take-away.
- Near the pick-up counter, on a small stand people see while waiting for their order.
The direct link, the QR code and an A4 poster with your name are made here: Google review link and QR code (free, no account). The same QR code for all your customers, with no sorting.
To check on your Google listing
- Your hours, with the take-away and delivery slots if they differ.
- The up-to-date menu or its link, and the number to order directly.
- Photos of pizzas made by you, the oven and the dining room, rather than generic images.
To go through the rest: the 17-point listing check-up. A complete listing doesn't guarantee a better ranking, it mostly keeps you from losing a customer over wrong info.
To avoid
- Blaming the delivery platform or the courier in public.
- Offering a pizza on the next order in exchange for a review: Google refuses it.
- Replying in the heat of service with curt sentences.
Google's rules change: read its official help from time to time. More details: getting more Google reviews, honestly. These tips are practical, they don't replace legal advice.
