Google reviews for a gym: asking, replying, looking after your listing

In a gym, reviews talk about equipment, cleanliness, crowding at peak times and the membership. That last subject is sensitive: a badly handled cancellation produces very harsh reviews. Here is how to reply.

Situations that come up

  • The membership that is hard to cancel

This is the complaint that comes up most. Don’t defend yourself with the contract in public. Say you want to understand what blocked and invite the member to contact you so you can look at the file.

  • The equipment that is broken or in poor condition

A machine out of service for weeks gets noticed. Acknowledge it, say what you are doing to repair or replace it if that is true, without promising a date.

  • The crowding at peak times

In the evening and at weekends the gym is full. Don’t put the blame on members. Say thank you for the remark and mention, if it is true, the quieter times.

  • The enthusiastic review

Say thank you and mention a detail: the coaches, the atmosphere, the cleanliness. Avoid announcing promotions in the reply.

Three reply templates to adapt

Fill in the fields (optional)

An empty field stays in square brackets in the text: fill it in before publishing. Read it over and change a few words, a reply that looks written for this person beats a copy-paste.

  • Membership or cancellation

The member complains about a cancellation or a billing issue.

Hello [first name], thank you for your feedback. We are sorry for the difficulty you describe, [problem]. We would like to look at your file with you: could you write to us at [contact]? The [business name] team.

  • Broken equipment

A machine is out of service or in poor condition.

Hello [first name], thank you for taking the time to write. You are right to point out this problem, [problem]. We are dealing with it with the technical team. You can write to us at [contact] for any other remark. [business name].

  • Thank-you

    Positive review.

Thank you [first name] for your message! Knowing that [specific point] pleases you makes the whole [business name] team happy. See you soon at the gym.

Other cases (fake, unfair, no comment reviews): the twelve general templates.

Where to put your review QR code

  • At reception, when the member swipes their badge or phone.
  • In the changing rooms, on a display near the lockers, with a short sentence.
  • In the welcome email or the email after the induction session, with the direct link.

The direct link, the QR code and an A4 poster with your name are made here: Google review link and QR code (free, no account). The same QR code for all your customers, with no sorting.

To check on your Google listing

  • Opening hours, including access outside staffed hours if the gym is open access.
  • The group classes, the activities and the equipment really available.
  • Photos of the gym, the weights area and the changing rooms, clean and recent.

To go through the rest: the 17-point listing check-up. A complete listing doesn't guarantee a better ranking, it mostly keeps you from losing a customer over wrong info.

To avoid

  • Quoting the contract at a member who complains about cancellation, in public.
  • Publishing photos of members without their agreement.
  • Asking only the most regular members: Google forbids sorting.

Google's rules change: read its official help from time to time. More details: getting more Google reviews, honestly. These tips are practical, they don't replace legal advice.
